Privacy Policy

Pocketscribe is an independent iOS app developed by Berke Başbay (“I”, “me”, or “we”). This policy explains what personal data the app collects, why it collects it, and the rights you have — including under the EU General Data Protection Regulation (GDPR). For the data described here, Berke Başbay is the data controller. You can reach me any time at berkebasbay@gmail.com.
The short version
- I don’t sell or rent your personal data, and there are no ads in the app.
- Your recordings are stored privately under your account and used only to give you your transcripts and tasks.
- To turn speech into text and tasks, your audio is processed by OpenAI on my behalf — and is not used to train their models.
- You can delete any recording, transcript, or task — or your whole account — at any time.
1. Your account and profile
To use Pocketscribe you create an account with your email address and a password. I use these to sign you in and to keep your recordings and tasks private to you. Authentication is handled by Supabase, my backend provider, on my behalf.
During onboarding the app asks a few optional questions (such as your first name and how you like to plan) to personalise the experience. This information is stored with your profile and is only ever used inside the app for you.
2. Voice recordings
The core of the app is recording your voice. With your permission, the app uses your device microphone to capture the audio you record. Each recording is uploaded over an encrypted connection to secure, private storage (hosted on Supabase) that is tied to your account, so that only you can access it.
You can grant or deny microphone access, and change it at any time, in iOS Settings. Without it, the app cannot record.
3. Turning speech into tasks
To do its job, the app sends your recording to OpenAI, through my secure backend, to transcribe what you said and to extract the tasks and dates from it. OpenAI processes your audio and transcript solely to return these results to the app and, under its API terms, does not use them to train its models.
The transcript, a short summary, and the extracted tasks are then saved to your account so you can see them across the app. Your audio is not shared with anyone else, and it is never used for advertising.
4. What the app stores for you
So the app works across the Records, Tasks, and Calendar screens, the following is stored in your account (on Supabase, protected so that only you can read it):
- your recordings and their audio files;
- the transcript and summary of each recording;
- the tasks extracted from your recordings, and any tasks you add yourself, together with their dates and completed state;
- a running total of how much recording time you have used, so the app can manage usage limits.
5. No advertising, no tracking
Pocketscribe does not show ads and does not track you across other apps or websites. There is no advertising identifier used, and I do not build a marketing profile of you. If diagnostic or usage analytics are added in the future to improve the app, this policy will be updated first and any such data will be kept to the minimum needed and described here.
6. Who processes data for me
I keep the supply chain small. The following providers process data on my behalf, each only for the purpose listed:
- Supabase — account sign-in, database, and the private storage that holds your recordings, transcripts, and tasks.
- OpenAI — transcription of your audio and extraction of tasks and dates, as described in section 3.
- Apple — distributes the app through the App Store and, where you opt in, provides limited, aggregated App Store analytics.
- Vercel — hosts this website and keeps standard, short-lived server logs (such as IP address and browser type) to keep it secure and reliable.
Some of these providers may process data outside your country, including in the United States. Where that happens, appropriate safeguards such as the EU Standard Contractual Clauses are relied upon. I do not share your data with anyone else except where I am legally required to do so.
7. How long data is kept
Your recordings, transcripts, and tasks are kept for as long as you keep them in the app. You can delete any recording, transcript, or task directly in the app, and deleting a recording also removes its audio file from storage.
If you delete your account, everything associated with it — your profile, recordings, audio files, transcripts, and tasks — is deleted along with it. To request account deletion, contact me at berkebasbay@gmail.com.
8. Your rights
Under the GDPR and similar laws, you may ask me at any time to:
- confirm what personal data I hold about you and receive a copy of it;
- correct information that is inaccurate or incomplete;
- delete your data, or restrict how it is used;
- object to processing based on legitimate interest;
- receive certain data in a portable format.

9. Security
Data travelling between the app and its backend is sent over encrypted connections, your recordings sit in private, owner-only storage, and access to your data is restricted at the database level so that only your account can read it. No system is perfectly secure, but I work to keep the risk low.
10. Children
Pocketscribe is intended for a general audience and is not directed to children under 13. I do not knowingly collect personal data from children.
11. Changes to this policy
I’ll update this policy as the app evolves. The “Last updated” date at the top reflects the current version, and any material changes will be posted on this page.
